Zapier is the easiest to start with, Make gives you more visual control for less money at volume, and n8n is the most flexible, especially for AI workflows and self-hosting. The deciding factor is often how each tool charges: Zapier counts every step, Make counts every operation, and n8n counts each full workflow run once.
This is an editorial comparison based on public vendor information and third-party reviews. Reviews disagree on exact prices and app counts, so we do not quote dollar figures. Check each vendor's pricing page.
How do the three tools compare?
| Zapier | Make | n8n | |
|---|---|---|---|
| Billing unit | Per task (each action step) | Per operation (each module run) | Per workflow execution (one full run) |
| Ease of learning | Easiest | Medium, visual builder | Steepest |
| Integrations | Largest library | Large | Large, plus custom code and HTTP calls |
| Self-hosting | No | No | Yes |
| Best for | Simple links between apps | Multi-step logic on a budget | AI agents, custom logic, data control |

Why does the billing unit matter so much?
The same workflow can cost very different amounts depending on how it is counted. Take a workflow with ten steps that runs 1,000 times a month.
- Zapier: each action counts as a task, so this could use roughly 10,000 tasks.
- Make: each module run counts as an operation, so the count is similar to Zapier's.
- n8n: each full run counts once, so this is 1,000 executions.
The longer and busier your workflows, the more this gap grows. AI workflows tend to have many steps, because they read, classify, draft and log, so n8n's model often suits them. That is a pricing observation, not a promise: do the arithmetic with your own volume.
When should you pick Zapier?
Pick Zapier when you want something working today and your workflows are short. It has the biggest app library and the gentlest learning curve, so non-technical staff can build their own automations. The trade-off is cost at higher volume, because every step counts.
When should you pick Make?
Pick Make when you want branching, loops and data handling in a visual builder without a high bill. It sits between Zapier and n8n on difficulty. Reviews generally place its price below Zapier's for similar volumes, though one reviewer cautions that the gap is smaller than the marketing suggests.
When should you pick n8n?
Pick n8n when you need custom logic, AI agents or control over where data lives. You can run it on your own server, so the software has no licence fee and you pay for hosting. Reviews put a basic server in the range of a few dollars to about twenty dollars a month.
The catch is that you own the work: updates, backups, security and uptime. n8n has had serious security fixes, so read our note on the n8n self-hosting security update before you host it. Reviews also disagree on how to describe n8n's licence (some say fair-code, one says a sustainable-use licence), so read the current terms yourself before using it commercially.
Is a ready-made tool always better than building custom?
Not always. A tool like OpenAI's agent builder is fast to try, but a custom workflow gives you more control over steps, limits and data. We compare the two in OpenAI's agent builder vs a custom n8n agent. If your AI bill is growing, move steps from the language model into plain code to cut cost.
A quick way to decide
- 01
Count the steps
If most of your workflows have two or three steps, any tool works. If they have ten or more, compare billing models first.
- 02
Check your team's skill
No technical person? Start with Zapier or Make. Have a developer or an agency? n8n becomes realistic.
- 03
Check data rules
If customer data must stay on your own server, n8n self-hosting is the only one of the three that allows it.
- 04
Run one pilot
Build the same small workflow in two tools and compare setup time, running cost and how easy it is to fix.
